ACCOUNTS/ADMIN OFFICER

  • The Candidate will play a key role overseeing the Accounts and Operations function, providing exceptional accounting, operations and administration services to the company.
  • You will be responsible for the preparation of Financial Statements with Disclosures and other ad-hoc financial information.
  • You will take ownership and respond to Client/Investor queries promptly.
  • Using your own judgment to highlight any significant finds and put forward any recommendations to help us find an appropriate solution.
  • It is essential that you follow the correct processes and procedures to help us ensure we are compliant with applicable laws, service standards, company policies and procedures.
  • You will need to have a curious mind and use your initiative to identify any risks or concerns ensuring you report them in a timely manner.

Responsibility/ Duties:

  • Execution of transactions and resolve problems with record-keeping, accounting, trade platforms with minimal supervision.
  • Serve as a point of contact between internal and external personnel eg Banks, Vendors, Brokers, and Regulatory agencies.
  • Collaborate with sales team to draft new business contract in accordance with internal policies which meets clients needs.
  • Maintain accurate clients and vendors data.
  • Manage all accounting transactions.
  • Prepare budget forecasts.
  • Publish financial statements in time.
  • Handle monthly, quarterly and annual closings.
  • Reconcile accounts payable and receivable.
  • Ensure timely bank payments.
  • Compute taxes and prepare tax returns.
  • Manage balance sheets and profit/loss statements.
  • Report on the company’s financial health and liquidity.
  • Audit financial transactions and documents.
  • Reinforce financial data confidentiality and conduct database backups when necessary.
  • Comply with financial policies and regulations.
  • Manage office supplies stock and place orders.
  • Prepare regular reports on expenses and office budgets.
  • Maintain and update company databases.
  • Organize a filing system for important and confidential company documents.
  • Answer queries by employees and clients.
  • Update office policies as needed.
  • Maintain a company calendar and schedule appointments.
  • Book meeting rooms as required.
  • Distribute and store correspondence (e.g. letters, emails and packages).
  • Prepare reports and presentations with statistical data, as assigned.
  • Arrange travel and accommodations.
  • Schedule in-house and external events.

Skill Requirements

  • Proven work experience as an Administrative Officer, Administrator or similar role.
  • Solid knowledge of office procedures.
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically).
  • Strong organization skills with a problem-solving attitude.
  • Excellent written and verbal communication skills.
  • Attention to detail.
  • HND Business Admin/HND Accounting or any Other Degrees; additional qualifications in Office Administration are a plus.

  • Experience with general ledger functions.
  • Strong attention to detail and good analytical skills.
  • BSc in Accounting or relevant degree/HND Accounting.

Job Description

  • Daily reconciliation of payments to ensure the accounting system reflects the correct transactions.
  • Making and posting of bank transactions.
  • Working on expense claims of employees.
  • Maintains list of vendors and its Master data.
  • Accounting System updates.
  • Daily reconciliation of bank statements with transaction dockets, purchases and sales schedules.
  • General Ledger reconciliation.
  • Prepare weekly and monthly reconciliation reports.
  • Supporting month end process.

Qualifications

  • HND, OND, AAT Preferably
  • 1-2 years of experience
